1. Scope

  • Is the quote design-only, build-only, or fully turnkey?
  • What is bundled in — graphics, furniture, lighting, AV, flooring, storage, install, dismantling?
  • Which line items are excluded or billed separately at the end?
  • Who owns the editable design files after the show?

2. Venue and organizer

  • Who handles manuals, approvals, access, badges, and safety documents — provider, venue, or you?
  • Are utilities, rigging, cleaning, and security provider-billed or venue-billed?
  • What deadlines hit first — design sign-off, production cut-off, build-up start?
  • Is the provider on the venue approved list, or applying as a guest contractor?

3. Production

  • What is built in-house and what is subcontracted?
  • Can the provider show completed work for the same stand type and size?
  • How is a floorplan or build-rule change from the organizer absorbed mid-project?
  • What is the contingency if a key element fails inspection on build-up day?

4. Contract

  • Payment milestones, cancellation terms, and change-order fees — written down?
  • Who owns the final materials, reusable parts, and graphics?
  • On-site support during show days — how many people, what hours?
  • Insurance certificate, trade license, and a real billing address — on file before deposit?

Design and revisions How many concepts and revision rounds are included before change fees start? One quote may include only a render, while another includes full design development and production drawings.
Production method What is built in-house, rented, reused, subcontracted, or bought new for this stand? Modular, rental, and custom fabrication can look similar in a proposal but age, reuse, and cost very differently.
Graphics and branding Are printing, artwork checks, replacement graphics, counters, signage, and deadline changes included? Late artwork or extra print runs can create add-ons after the headline booth price looks settled.
Venue and approvals Who handles manuals, permits, structural review, fire-rated materials, badges, and service orders? Venue-billed and supplier-billed items are easy to mix up unless every quote uses the same assumptions.
Installation and dismantling How many crew, site days, show support hours, handover checks, and dismantling tasks are included? A cheaper quote may omit show-day support, overtime, post-show handling, or storage.
AV and technical demos Which screens, LED walls, power loads, internet needs, demo stations, and backup plans are covered? Technology-heavy GITEX-style booths can move quickly from furniture pricing into engineering and AV pricing.
